# Assets

> Create assets, manage them, and read everything about a machine from its asset page.

An asset is anything your team maintains: a compressor, a DG set, a chiller, a conveyor, a lift, an AC unit, a fire extinguisher. Each asset keeps its own history of work orders, breakdowns, parts and costs.

You find assets under **Assets** > **Assets** in the left sidebar. Asset types are under **Assets** > **Asset Type**.

## Create an asset

**1. Start a new asset**

Go to **Assets** > **Assets** and click **+ Create asset**.

**2. Name and describe it**

Enter the **Asset Name** (required) and an **Asset Description**.

**3. Say where it is**

Choose its **Location**.

**4. Attach documents**

Under **Attachments**, add **Photos** of the asset and **Files** such as manuals, contracts, datasheets and warranty documents.

**5. Classify it**

* **Asset Type**: the kind of equipment, such as compressor or pump.
* **Category**: the category it belongs to.
* **Criticality**: **Critical**, **Important** or **Normal**.

**6. Assign responsibility**

Choose the **Responsible Users** and **Responsible Team** for this asset.

**7. Add technical and purchase details**

Fill in **Serial Number**, **Manufacturer**, **Model Number**, **Warranty Expiration Date**, **Purchase Date** and **Asset Purchase Price**. The price uses your branch's currency.

**8. Link it to a parent (optional)**

If this asset is part of a bigger one, choose the **Parent Asset**. For example, a motor inside a production line.

**9. Create**

Click **Create**.

> [!TIP]
>
> Fill in **Criticality** for every asset. It tells your team which breakdowns to drop everything for.

## Inside an asset

Click an asset's name to open it. The tabs are:

| Tab | What it shows |
| - | - |
| **Details** | Pending, completed and overdue work orders, criticality, placement (location path and child assets), technical details, responsibility, and commercial and warranty details |
| **Work Orders** | Every work order on this asset |
| **Breakdown History** | Breakdown work orders on this asset, by timeline |
| **Parts Replaced** | Parts used on this asset |
| **Parts Associated** | Parts linked to this asset |
| **Costs** | What this asset has cost to maintain |
| **PM Schedule** | Preventive maintenance scheduled for this asset |
| **Analytics** | Performance figures (see below) |
| **Attachments** | Photos and files |
| **Custom Fields** | Your organisation's own fields |
| **History** | Every change made to the asset |

### Asset analytics

The **Analytics** tab shows, for the period you pick:

* **Total WOs completed**, **Preventive WOs completed** and **Breakdown WOs completed**
* **Total cost** and **Asset purchase** price
* **Maint. cost %**: maintenance cost as a share of the purchase price
* **MTTR** (mean time to repair) and **MTBF** (mean time between failures)
* Trend charts for total cost and completed breakdown work orders

## Manage assets

On **Assets** > **Assets**, click the **...** menu on an asset's row:

| Action | What it does |
| - | - |
| **Copy ID** | Copies the asset ID |
| **QR Code** | Shows the asset's QR code. See [QR codes](/qr-codes) |
| **View Details** | Opens the asset |
| **Edit** | Opens the asset for editing |
| **Duplicate** | Makes a copy, useful for identical machines |
| **History** | Shows every change to the asset |
| **Delete** | Deletes the asset |

To edit or delete from inside the asset, use the pencil and bin icons in the top right.

Use **Search**, **+ Add filter**, **Sort**, **Edit Columns** and **Saved views** to find assets, and **Export List** to download them.

## Asset types

Asset types group similar equipment so you can filter and report on them together.

1. Go to **Assets** > **Asset Type** and click **+ Create Asset Type**.
2. Enter the **Asset type** name (required) and a **Description**.
3. Click **Create**.

The list shows how many assets belong to each type.
