# Automations

> Send emails, notifications and messages automatically when something happens in Opmaint.

An automation watches for a situation, such as an overdue work order or low stock, and acts on its own: it sends an email, a notification or a message to the right people.

You find automations under **Automations** in the left sidebar.

## Create an automation

**1. Start a new automation**

Click **Automations** in the sidebar, then **+ Create Automation**.

**2. Basic information**

Enter an **Automation Name** (required), such as "Overdue work order escalation", and a **Description**. Keep **Automation Active** on. Disabled automations do not run.

**3. Choose the trigger type**

| Trigger | Use it for |
| - | - |
| **Work Order** | Status, priority, overdue jobs |
| **Parts & Inventory** | Stock levels and part conditions |
| **Asset** | Failures, location, ownership |
| **Purchase Request** | Approvals and request events |
| **Preventive Maintenance** | PM schedule and compliance |

**4. Set conditions**

Build the rule: pick a field (such as **Status**), an operator (**Equals**, **Not equals** or **In list**) and a value.

**5. Configure actions**

Choose what happens. Click **Add Email**, **Add Notification** or **Add Message**. For each action, choose who receives it (**Admins**, **Everyone Assigned** or **Custom Users**) and when (**Immediately**, **After 1 hour**, **After 6 hours** or **After 24 hours**).

**6. Save**

Save the automation. It starts running when its conditions are met.

> [!TIP]
>
> A good first automation: email the assigned person when a work order passes its due date, then escalate to the supervisor if it stays overdue.

## Manage automations

The **Workflow Automations** page shows how many automations are active, total executions and actions configured. For each automation you see its trigger, number of actions, how many times it has run and when it last ran.

* Filter the list with **All**, **Active**, **Inactive**, **Work Orders**, **Parts**, **Asset**, **PM** or **Purchase Request**.
* Use the switch on an automation to turn it on or off.
* Click the pencil icon to edit it, or the bin icon to delete it.
* Click **View Logs** to see what your automations have done.
