# Checklists

> Build reusable inspection checklists, attach them to work, and review the responses.

A checklist is a reusable inspection form: the steps or checks a technician fills in on a job. Checklists live under **Inspection** in the left sidebar.

| Page | What it holds |
| - | - |
| **Templates** | Your checklists, with how many questions each has and who last updated it |
| **Responses** | Every submitted checklist, with its template, status, validity, who submitted it and when |

## Create a checklist

**1. Open templates**

Go to **Inspection** > **Templates** and click **+ Create Template**.

**2. Name it**

Enter a **Template Name**, such as "Daily DG set check".

**3. Add fields**

Click **+ Add Field** and pick a field type. Repeat for each check.

**4. Create**

Click **Create Template**.

## Field types

| Group | Types |
| - | - |
| **Input Fields** | **Text** (single line), **Number**, **Email**, **Text Area** (multi-line), **Number Range** (number with min and max) |
| **Choice Fields** | **Radio** (pick one), **Checkbox** (pick several), **Dropdown**, **Yes/No**, **OK / Not OK** |
| **Advanced** | **Date**, **Time**, **Star Rating** (1 to 5), **Slider**, **Table** (rows and columns), **Signature** |
| **Media** | **Photo**, **File**, **Video**, **Voice Note** |
| **Layout** | **Section Title** (a header to group checks), **Divider** |

> [!TIP]
>
> Use **OK / Not OK** or **Yes/No** for quick pass or fail checks, **Number Range** for readings that must fall between limits, and **Photo** where you need proof the check was done.

## Use a checklist

* **On a work order:** pick it in the **Checklist** field when you [create a work order](/create-a-work-order).
* **In a workflow:** each workflow stage runs a checklist. See [Workflows](/workflows).

## Manage checklists

On **Inspection** > **Templates**, click the **...** menu on a checklist's row to **Copy ID**, **View Details**, **Edit**, **Duplicate** or **Delete** it. Click **Export** to download the list.

## Review responses

Go to **Inspection** > **Responses** to see every submitted checklist. Search, save views and choose columns to find what you need.

## Writing good checklists

* **One check per line.** "Check oil level" and "Check belt tension" are two fields, not one.
* **Use the words your team uses** on the floor.
* **Keep it short.** If a checklist runs long, split it with **Section Title** or into separate checklists.
